An air conditioning business takes more calls in the first hot week of summer than in the two months before it, and answers a smaller share of them.

This is what a text-back does about that, and why the case for it is really a case about a handful of weeks a year.

The weeks that decide the year

Demand arrives in waves. The first heatwave and the first genuine cold snap produce more calls in a fortnight than the quiet season before them, and the whole team is out installing during exactly those weeks.

That collision is the entire problem. The phone is busiest at the precise moment nobody has a spare hand, and it is not a staffing problem you can solve, because hiring for two weeks a year does not work.

The rest of the year the phone is manageable, which is why the issue never gets addressed. In March it is not a problem, and by the time it is a problem in December it is too late to be setting anything up.

Meanwhile the customer in a heatwave is not patient. Their house is uncomfortable, everybody they know has the same problem, and they are working down a list.

What the peak weeks are worth

An install is a four-figure job and most of them start as a service call. Losing a share of a peak fortnight is losing a meaningful share of the year.

The seasonality changes the arithmetic in a way that is easy to underestimate. A missed call in October costs you one job. The same rate of missed calls across a peak fortnight costs a substantial part of the annual revenue.

It also compounds into the following season. The customer who could not reach you in January has a business they use now, and they use it for the service the year after.

  • The calls concentrate.

    A fortnight can carry more enquiries than a quiet quarter.
  • Everyone is on the tools during the peak.

    The team is installing, which is why the phone rings out.
  • The customer is uncomfortable now.

    Heat makes people impatient, and impatient people ring the next business.

What it actually does

An unanswered call triggers a text within seconds saying you are on an install and asking what they need, so the enquiry is held rather than passed to the next business on their list.

In a peak week that holding function is worth more than at any other time, because the alternative is not a slower reply, it is somebody else doing the install.

It also sorts the queue for you. Replies come in writing with the address and the problem, so when you get to the phone you can work through them in a sensible order rather than ringing back blind.

What it does not do

  • It does not answer the phone.

    Somebody who wants to speak to a technician right now still cannot.
  • It cannot text a landline.

    Those calls alert you directly instead.
  • It does not add capacity.

    In a genuine peak you may still be booked out. It means you get to choose the work rather than lose it.

When to put it in

In the off season, so it is running and tested before the first hot week. This is the one part of the decision with a deadline attached.

Every seasonal business makes the same mistake, which is to notice the problem while it is happening and address it once it has passed. Both moments are the wrong one.

The useful test is not this month's call log but last summer's. If you were flat out and the phone rang constantly, you missed calls, and the number is retrievable.

For an air conditioning business this is not a year-round tool, it is insurance on the fortnight that pays for the year. It has to be in place beforehand.
