How we handle your personal information.

spareday is a small Australian business based in Newcastle, New South Wales. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth), and we hold ourselves to that standard whether or not the Act requires it of a business our size. We only collect what we need to answer your enquiry and deliver our work. That is usually:
We do not ask for and do not want sensitive information. That means health information, biometric information, government identifiers, financial account details, or details about your race, religion, politics or union membership. Please do not send us any of it.
You can ask us a general question without giving us your name. We only need your details when we are preparing something specific for you, such as an audit, a quote or a booking.
Directly from you, when you fill in a form on our website, submit a Facebook or Instagram instant form for one of our ads, book a call, email us, call us, or reply to one of our text messages.
We also look at publicly available information about businesses when we are preparing a free report: search results, public business listings, public review pages and public social profiles. Where that information includes a person's name or contact details, we treat it as personal information and handle it under this policy. We use it only to prepare the audit and to make contact about it, and if you tell us you would rather we did not hold it, we will delete it.
We do not sell your personal information, and we do not share it with anyone for their own marketing.
When you call us, or we call you, the call may be answered or assisted by an automated voice assistant, and the call may be recorded and transcribed so we have an accurate record of what was discussed. We will tell you this at the start of the call, before we talk about anything else.
If you would rather not be recorded, say so and we will either take your details without recording or arrange for someone to call you back. If the call is about work we are doing for one of our clients, the recording or transcript may be passed to that client so they can follow up properly, and we will tell you that on the call before you go any further.
We use recordings and transcripts to follow up your enquiry, to keep our notes accurate, and to improve how we answer calls. We do not use them for anything else and we do not publish them.
If you give us your phone number, you are agreeing that we can contact you about your enquiry by phone, text message or email. Some of that contact is automated: we may send an immediate text acknowledging your enquiry, and we may use an AI assistant to answer calls or respond to messages so that nobody is left waiting.
When you give us your details through a form, an ad, a call or a text, we record what you agreed to and when, so we can show you asked to hear from us. Every marketing text tells you how to stop, and every marketing email has an unsubscribe link. Reply STOP to any text, click unsubscribe in any email, or just email us and say so. We act on it within five working days, at no cost to you, and we keep a record so it is not undone.
We use automated systems, including an AI assistant, to answer calls and messages, take down your details, and sort enquiries so the right ones reach us quickly. A person makes the decisions that matter: whether we take on your work, what we quote, and what we recommend. From 10 December 2026 we will describe here any decision made entirely by an automated system that could significantly affect you. At present there are none.
We use trusted service providers to run our business, and your information may be stored or processed by them. The main ones are:
Some of these providers store and process information outside Australia. Meta, Google, Stripe, Twilio and Calendly all hold data in the United States, and Google and Meta also use data centres in Europe, Singapore and elsewhere. We only use providers whose own terms require them to protect your information, and we stay responsible for your information even when one of these providers is holding it. If something goes wrong at their end, you can still come to us.
We will also disclose information where the law requires it.
Our website uses cookies and similar tracking, including the Meta pixel and Google tags, to understand how people find and use the site and to measure our advertising. You can block or delete cookies in your browser settings; the site will still work, but some measurement will not.
Access to your information is limited to the people who need it to do the work. Our systems are password protected, access is restricted, and internal tools are not exposed to the public internet. No system is perfect, but we treat your details as private and we do not leave them lying around.
If information we hold about you is lost, or accessed by someone who should not have it, and we think that could cause you real harm, we will tell you as soon as we practically can and explain what happened and what you should do. Where the law requires it, we will also notify the Office of the Australian Information Commissioner.
We keep enquiry records for as long as we may reasonably need them, and client records for at least seven years where tax and business records law requires it. Call recordings and transcripts are kept only as long as they are useful for following up the enquiry or the work. When information is no longer needed and we are not required to keep it, we delete it or de-identify it.
You can ask us what we hold about you, ask us to correct it, or ask us to delete it. Email hello@spareday.ai and we will respond within a reasonable time, normally inside 30 days. There is no charge for a straightforward request.
If you think we have mishandled your information, email hello@spareday.ai. We will acknowledge your complaint within five business days, look into what happened, and give you a written answer within 30 days. If we need longer we will tell you why and when to expect a response. If you are not satisfied with our answer, you can take the complaint to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
If we change how we handle personal information we will update this page and change the date at the top. Earlier versions are available on request.
