Booking reminders reduce no-shows for a simple reason: most people who miss an appointment have not changed their mind, they have forgotten.

The things that make a reminder work are the timing, the format and whether it gives somebody an easy way to move the time instead of just not turning up.

When to send them

The day before, and again on the morning of. Two reminders catch nearly everything a single one misses, and a third is generally an irritation.

Reminder timing is about when somebody can still act on it. A message that arrives an hour beforehand is a notification rather than a reminder.

The timing that works

  • At booking.

    A confirmation, so the appointment exists somewhere other than in their memory.
  • The day before.

    Far enough ahead that the slot can be refilled if they cannot make it.
  • The morning of.

    The one that catches people who genuinely forgot.
  • Not more than that.

    Three is a service. Five is a nuisance, and it trains people to ignore all of them.

What a reminder should say

The time, the place, who it is with, and a way to change it in one tap. Anything else reduces the chance it gets read.

A reminder is read on a phone in a few seconds, so every extra sentence lowers the odds it does its job.

What to include

  • The time and the date, plainly.

    Not buried in a paragraph.
  • Where, if travel is involved.

    With an address that opens in a map.
  • An easy way to move it.

    This is the part most reminders leave out, and it is the part that saves the slot.
  • Who it is from.

    People do not answer messages from numbers they do not recognise.

What to do about the ones who still miss

Ask once, keep a record, and decide a policy in advance rather than in the moment. A repeated no-show is a different problem to a one-off.

Most businesses have no record of who misses appointments, which makes it impossible to tell an accident from a pattern.

What to put in place

  • A record of misses.

    Attached to the customer, not sitting in somebody's memory.
  • One follow up.

    A short message asking whether they want to rebook. It recovers more than people expect.
  • A stated policy for repeats.

    Decided calmly beforehand, applied consistently.
  • A deposit where it fits.

    Not for everything, but it changes behaviour on high value slots.
